JOB SUMMARY:    This individual is responsible for appointments, patient demographics, patient check-in/out, supplies, day-end close-out, filing, scanning, telephone, recall system, and the reception room. Must be able to sit 6-8 hours per day, stand, move around the office efficiently, and lift up to 10 pounds. This is a non-exempt position. Individual will follow minimum necessary standard with regards to access to personal health information (PHI).

1.    High school diploma.
2.    Basic typing, English and mathematical skills.
3.    Computer proficient. Efficient and accurate data entry.
4.    Prior medical experience preferred

1.    Excellent math skills.
2.    Familiarity with spreadsheet and word processing programs.
3.    Strong organization with attention to detail.
4.    Pleasant personality and disposition with empathy for patients. 
5.    Customer service skills required; sales skills preferred.
6.    Honesty and integrity.
7.    Accuracy.

1.    Telephones    
a.    Answers inbound telephone calls and routes to appropriate station:
•    Schedules appointments and takes messages for doctors, office manager, etc as appropriate. 
•    Transfers calls/takes messages requesting medical advice, prescription refills, or surgery information to the ophthalmic assistant.
•    Transfers billing questions to the billing manager; is authorized to take payments over the phone and process credit card.
•    Transfers calls from other physicians to the doctor being requested or the doctor who is presently on call.

2.    Schedules
a. Reviews schedule against EHR to double check patients scheduled for appropriate appointment
b. Pulls paper charts as needed
c. Data entry of medical information into EHR

3.    Patient Intake
a. Greets patients, takes demographic information, including insurance card and photo ID.
b. Ensures appropriate patient paperwork complete
c. Ensures appropriate consents signed electronically
d. Data entry of pertinent information into Practice Management (PM) and Electronic Health Records (EHR) systems.

4.    Patient Discharge    
a.    Intercepts patients upon discharge from treatment areas.
b.    Reads the route slip to be sure all necessary information has been recorded; schedules follow up appts and/or enters appt reminders as needed.
c.    Collects copays, refraction fees, balances, surgery fees, monies for purchased vitamins/products 
d.    Posts charges and payments to computer.

5.    Day-End Closeout    
a.    Collects tapes from all posting terminals.
e.    Checks route slips for numbers missing from sequence before filing away. 
f.    Totals daily charges and ensures it matches PM transaction report
b.    Prepares deposit on occasion
c.    Files back any unfiled charts

6.    Reception Room    
a.    Checks magazines for current dates.
b.    Rotates magazines from drop areas back to the reception room.
c.    Picks up anything left behind by patients (empty cups, crushed tissues, etc.).
d.    Straightens and replaces chairs to original positions.
e.    Turns off television, lights, etc.

7.    Other    
a.    Balances cash change account daily.
b.    Files paper and charts as needed.
c.    Recalls patients via phone or postcards depending on type of appointment
d.    Scans paperwork into EHR and routes to appropriate recipient.
e.    Assists with patient collection calls/letters regarding unpaid balances.
f.    Other duties as required.
